1. Acceptance of these terms

These terms govern your use of Archival AI (https://archivalai.org), a heritage image annotation platform operated by an academic research collaboration between NUS, NTU and AI Singapore, supported by a National Heritage Board grant. By creating an account or using the platform, you agree to these terms and to our Privacy Policy.

Archival AI is a non-commercial academic research platform, provided free of charge for research and heritage-documentation purposes.

2. Your account

You must provide accurate registration information and keep it up to date. You are responsible for keeping your password confidential and for all activity that occurs under your account.

Notify us at contact@archivalai.org if you believe your account has been compromised. We may refuse, suspend or reclaim accounts where reasonably necessary.

3. Content rules

Only upload images that you have the right to share — either your own work, material with the rights-holder's permission, or material in the public domain. You are responsible for ensuring your uploads do not infringe copyright or other rights.

Do not upload content that is unlawful, defamatory, obscene, hateful or otherwise offensive, or that contains other people's personal data without their consent.

Provide metadata and corrections in good faith and as accurately as you can. Deliberately submitting false or misleading information is a breach of these terms.

4. Licence you grant us

You keep ownership of the content you upload. By submitting content, you grant the platform a worldwide, non-exclusive, royalty-free licence to store it, process it (including with AI systems), display it on the platform, and use it in the research project.

Where a contribution (an image, annotation or correction) is approved through review, you also agree that it may be included in research datasets released to the public under open licences. You are reminded of this each time you submit.

5. AI-generated content

Annotations and translations on the platform are generated in part by AI systems (including Google Gemini and the SEA-LION model) and may contain errors, omissions or outdated information.

AI-generated drafts are marked as unverified until they have been reviewed by an expert. Do not rely on unverified content as an authoritative historical record.

6. Moderation and removal

We may review, edit, decline to publish, or remove any content, and may suspend accounts, where we reasonably believe these terms have been breached or where content is inappropriate for the platform. We are not obliged to pre-screen content but may do so.

7. Intellectual property

The platform's software, design and branding belong to the research project and its institutions. Contributed content remains subject to Section 4. Openly released datasets carry their own licence terms, which will be stated with each release.

8. Suspension and termination

You may stop using the platform and ask us to delete your account at any time by emailing contact@archivalai.org. We may suspend or terminate accounts or the service, in whole or in part, including when the research project ends. Sections that by their nature should survive (including licences to content already included in released datasets, disclaimers and the limitation of liability) survive termination.

9. Disclaimers and limitation of liability

The platform is provided “as is” and “as available”, without warranties of any kind, whether express or implied, including fitness for a particular purpose, accuracy and availability.

To the maximum extent permitted by Singapore law, the research project, its institutions and staff shall not be liable for any indirect, incidental, special or consequential loss, or loss of data, arising from your use of, or inability to use, the platform. Nothing in these terms excludes liability that cannot be excluded under law.

10. Governing law

These terms are governed by the laws of the Republic of Singapore, and the courts of Singapore have exclusive jurisdiction over any dispute arising out of or relating to these terms or the platform.

11. Changes and contact

We may update these terms from time to time. The revised terms will be posted on this page with a new “last updated” date, and continued use of the platform after changes take effect constitutes acceptance. Questions about these terms: contact@archivalai.org.
